How Do I Know If My QuickBooks Needs a Cleanup?
If you use QuickBooks for your business, it can be hard to know whether your books are actually accurate.
Everything may look fine at first. Your transactions are coming in, your bank accounts are connected, and QuickBooks is giving you reports.
But that doesn’t always mean the numbers are right.
This is something I see pretty often when reviewing QuickBooks files for small businesses in Massachusetts. Here are some of the most common signs that your books may need a cleanup.
What is a QuickBooks cleanup?
A QuickBooks cleanup is basically going through your existing books and fixing anything that is inaccurate, incomplete, or hasn't been kept up with.
That might mean reconciling accounts, fixing transaction categories, removing duplicates, correcting old balances, or cleaning up your financial reports.
The goal is simple: your QuickBooks should match what actually happened in your business.
1. Your accounts haven't been reconciled
One of the first things I look at when reviewing a QuickBooks file is whether the bank and credit card accounts have been reconciled.
Reconciliation means comparing what's recorded in QuickBooks to your actual bank or credit card statements.
If this hasn't been done regularly, there could be missing transactions, duplicates, incorrect balances, or other issues hiding in your books.
2. You have a lot of uncategorized transactions
A few uncategorized transactions aren't unusual.
Hundreds of them are a different story.
If transactions have been piling up for months, your Profit & Loss may not give you a clear picture of where your money is actually going.
This is especially common when a business owner connects their bank account to QuickBooks and assumes the software will take care of everything automatically.
The bank feed makes bookkeeping easier, but the transactions still need to be reviewed and recorded correctly.
3. Your QuickBooks balances don't match your actual accounts
If QuickBooks says you have $15,000 in a bank account but your bank says you have $8,000, something needs to be reviewed.
The difference could come from duplicate transactions, missing transactions, old uncleared items, or accounts that haven't been properly reconciled.
Even small differences can turn into bigger problems when they're left alone for months.
4. Your balance sheet has accounts or balances you don't recognize
Your balance sheet can tell you a lot about the condition of your books.
Maybe there's a loan that was paid off years ago but still has a balance. Maybe an old bank account is still showing money in it. You might see negative credit card balances or amounts sitting in accounts you don't recognize.
Those are all good reasons to take a closer look.
5. You don't trust your Profit & Loss
Your Profit & Loss should help you answer a pretty basic question:
Is my business actually making money?
If you look at your P&L and immediately think, "That can't be right," don't ignore it.
Income could be recorded incorrectly. Expenses could be in the wrong categories. Personal transactions might be mixed in with business expenses. Loan payments could also be recorded incorrectly.
Before you use your P&L to make decisions about your business, you want to know that the information behind it is accurate.
6. You've fallen several months behind
This happens more often than you might think.
You're busy running your business, bookkeeping gets pushed to next week, and suddenly you're six months behind.
That doesn't necessarily mean you need to start over.
Usually, the better option is to catch everything up, reconcile the accounts, fix any existing issues, and then put a monthly bookkeeping process in place so you don't end up in the same situation again.
7. Tax time is always a scramble
If every tax season starts with your CPA asking questions you can't easily answer, your bookkeeping probably needs some attention.
Ideally, your CPA should be able to receive accurate year-end financial reports without you spending days trying to figure out what happened eight months ago.
Keeping your books clean throughout the year makes tax time a lot easier for you and your CPA.
Can a bookkeeper clean up QuickBooks?
Yes. A bookkeeper can review your existing QuickBooks file, identify problems, correct the bookkeeping, reconcile your accounts, and bring everything up to date.
How much work is involved really depends on the condition of the books.
Some businesses only need a few months caught up. Others may have a year or more of bookkeeping that needs to be reviewed.
Should I clean up QuickBooks myself?
It depends on what's going on with your books and how comfortable you are with QuickBooks.
If you're only a month or two behind and your accounts were previously reconciled correctly, you may be able to catch everything up yourself.
If you're dealing with unreconciled accounts, incorrect balances, old loans, duplicate transactions, payroll issues, or financial reports that don't make sense, it may be worth having a bookkeeper review the file first.
Sometimes trying to fix one problem without knowing what caused it can create another one.

Once your books are cleaned up, the goal is to keep them that way.
That's where monthly bookkeeping comes in.
Your accounts can be reconciled every month, transactions can be reviewed while they're still recent, and your financial reports can stay current.
Instead of wondering whether the numbers in QuickBooks are right, you'll have financial reports you can actually rely on.

The cost of a QuickBooks cleanup depends on how much work needs to be done.
A business that's three months behind with relatively clean records is very different from a business that's two years behind with unreconciled accounts and incorrect balances.
That's why most cleanup projects need to be reviewed before an accurate price can be given.
